General information about a Sales Order is located under the Header tab. The Header tab is displayed by default on accessing the Sales Order form.

Sales Order Header
Enter the fields as described below:

Description |
Hold |
Indicates that the Sales Order is on hold till further notice. |
Closed |
Indicates that the Sales Order was closed. |
Order Terms area: |

Required Date |
Enter the date on which the order is required to be delivered to the customer. In addition, you can defined a required date per line. Note: If you have already defined a required date per line in the Lines tab, you can click to specify that all open lines dates must be updated to this general required date. |
Promised Date |
Enter Promise Date for delivery to customer. |
Order Date |
Enter the date on which the order is created. Displays the current date by default. |
By |
Enter the name of the person who created the Sales Order. |
Payment Term |
Displays the default payment terms, if you require a different value, select the relevant payment terms from the drop-down list. The description is displayed. E.g., Net amount due in 30 days. Note: The payment terms in the drop-down list are predefined values. New payment terms must be added through the Company„Table setup forms. |
Shipping |
Displays the default shipping company. To change it, select the relevant shipping company that will be used from the drop-down list. |
Freight |
Displays the type of freight charged. E.g., At destination, delivery duty unpaid, FOB, etc. |
Currency /Ex.Rate |
Displays the default currency, to change it, select the relevant currency from the drop-down list in which the Sales Order is recorded. Select the exchange rate if the Sales Order is in a different currency to that of the customer's local currency, Exchange Rate automatically updated. |
Sales Person |
Select the name of the Sales Person who is responsible for this Sales Order, if applicable. Employees that have been identified with the sales process are listed in the drop-down list. |
Job |
Displays the default Job ID if used. This may be revised by selecting a different Job ID from the drop-down list. If the Sales Order is created directly from an existing Sales Order, these fields will be automatically entered. |
Tax 1 |
Select first tax code if applicable for this Sales Order or Click the .Button to automatically get applicable taxes based on address. |
Tax 2 |
Select first tax code if applicable for this Sales Order or Click the .Button to automatically get applicable taxes based on address. |
Source/Others area: |

Customer PO |
Enter the number of the Customer's Purchase Order, if applicable. |
PO Name |
Enter the name of the person sent the Customer Purchase order. |
PO Phone |
Enter Telephone number ofr the Customer Purchase Order, if applicable. |
Reference |
Enter any Customer Reference, if applicable. |
Quote ID |
Enter the Quote ID if applicable. If the Sales Order is created directly from an existing Quote, this field is automatically entered. |
Call ID |
Select the Call ID from the drop-down list if the Sales Order is related to a customer call. If the Sales Order was created from a Call form or sub-form, these fields will be automatically entered. |
Site ID |
Select the relevant Site Id from the drop-down list. This is relevant if the Sales Order was created from a site form. Click to email the sales order to the relevant Site. |

Warranty Code |
Enter the warranty code according to your company's policy which can be used as a reference if the customer needs repairs, and the item is under guarantee. |
Campaign |
Select the campaign to which the Sales Order is relevant. Once you select a campaign, you can select the event linked to the campaign. A campaign is for example an event with a strategic objective, or series of advertisements sharing a common element or theme, which may bring in sales. Campaigns and events are defined in the Campaigns module. |
Event |
Select the event relevant to the selected campaign. |
Region |
Select the relevant region from the drop-down list in which the customer is located. |
Engineer |
Displays the name of the engineer who is the contact person regarding the parts on order in the Sales Order. |
Header Notes |
Enter text that you wish to appear at the top of the Sales Order. Click the Header Notes hyperlink to expand the Header Notes field across the form, giving you more space Or Click to open the Zoom form, then add your header notes. From the Zoom form you can customize the font as required. |
Footer Notes |
Enter text that you wish to appear at the bottom of the Sales Order. Click the Footer Notes hyperlink to expand the Footer Notes field across the form, giving you more space Or Click to open the Zoom form, then add your footer notes. From the Zoom form you can customize the font as required. |
Bottom Section of the Form |
Displays the total value of the sales order |
Local Currency Subtotal |
Displays the value of the Sales Order in the Company's local currency. |
Foreign Currency Sub Total |
Displays the value of the Sales Order in foreign currency. |
Grand Total (Foreign) |
Displays the total of the Sales Order in Foreign Currency, if applicable, excluding tax. |
Total Tax |
Displays the value of the tax on the Sales Order. |
Grand Total |
Displays the total value of the Sales Order including tax. |
Click the Print button to print a copy of the Sales Order.
Click the EMail button to automatically email the Sales Order to the appropriate source.
Click Save to save the Sales Order details recorded.
